Writing pages

Files

Attach PDFs, spreadsheets, archives and any other file to a page, next to the text that explains them. This page covers attaching files, opening and downloading them, who can see them, and the limits.

Who can attach files

Anyone who can edit the page can attach files, if your organisation's plan includes file attachments. See the pricing page. When it doesn't, the Attach file button and the File item in the / menu don't appear.

Files already on a page can always be opened, even if your organisation later moves to a plan without file attachments.

Attach a file

Any of these works:

  • Toolbar: click Attach file (the paperclip) and choose one or more files.
  • Block menu: type / at the start of a line and choose File.
  • Paste or drag and drop: paste a copied file, or drag files from your computer onto the page. They land where you drop them.

Each file appears as a card showing its name, size and type. While a file is being added, a progress message shows Uploading file… and then Saving file…. You can add several files at once.

Pasted or dropped images are added as images, not as files. To attach an image as a file instead, for example to keep the original, use Attach file.

Open or download a file

  • PDFs: click the eye button on the card to preview the PDF without leaving the page. From the preview you can also Open in new tab or Download it.
  • Everything else: click the download button on the card. The file downloads with its original name.

Only PDFs are previewed. Other files, including web pages and images attached as files, always download rather than opening in the browser, so a file can't run anything inside Folioso.

If the preview stays blank, your browser may not show PDFs itself. Use Open in new tab or Download instead.

Who can open a file

A file can be opened only by people signed in to Folioso who can open the page it was attached to. Every time someone opens or downloads a file, Folioso checks again that they can still see that page, so removing someone's access to the page also removes their access to its files. Sharing a file's address doesn't give anyone access.

  • Private pages: only the author and the people the page is shared with can open its files.
  • Public links: people who open a public link without signing in see each file's name and size, with Sign in to view this file in place of the buttons. Once they sign in, they can open the files if they can see the page.
  • Pages in the recycle bin: their files can't be opened until the page is restored.

A file belongs to the page it was first attached to. If you copy a file card onto another page, or duplicate the page, the copy still opens the original page's file, so only people who can see the original page can open it.

Limits

  • File types: any type of file can be attached.
  • Largest file: your plan sets the largest single file you can upload, the same limit as for images. A file over your limit is refused with "Files must be under … MB on your plan." See the pricing page.
  • Storage: files count towards your organisation's upload storage, which is shared with images. See Uploads.
  • Upload rate: up to 50 files an hour per person.
  • Download rate: up to 60 file opens or downloads a minute per person.

Move or remove a file

  • Move: drag the card to another place on the page.
  • Remove: click the card to select it and press Backspace or Delete.

Removing a card takes the file off the page. Folioso deletes the stored file once no page, and no saved version of a page, uses it any more.

Files elsewhere

  • Search: a file's name is included in search, so searching for test-report finds the page it's attached to. The contents of the file aren't searched.
  • Uploads: organisation admins see every file, with its name and the page it's on, in Uploads.
  • Version history: a saved version of the page shows its file cards, and they open the same files.
  • Export as Markdown writes each file as a line with its name and size, such as Attachment: test-report.pdf (92556 bytes). The file itself isn't included.
  • Export as PDF shows each file's card, labelled Attachment, without a link.
  • Export all data in your account settings doesn't include attached files yet. See Exporting your data.
