Version history
Version history keeps snapshots of a page, taken every night it changes and whenever you take one by hand, so you can look back at an earlier version and restore it. This page covers taking, viewing and restoring snapshots, how long they're kept and who can see them.
Plans
Version history is available if your plan includes it. If it doesn't, Snapshots in the page menu carries a Pro badge and opens an upgrade prompt. See the pricing page.
Kinds of snapshot
| Kind | Label in the list | Taken |
|---|---|---|
| Daily | Daily, by "Automatic" | Every night, for each page whose content changed since its last snapshot |
| Manual | Manual, by the person who took it | Whenever someone clicks Take snapshot |
| Before restore | Before restore, by the person who restored | Automatically, just before a snapshot is restored |
A snapshot holds the page's title and content as they were last saved. It doesn't include tags, sharing or the page's location.
Daily snapshots run overnight (UTC) and only for pages edited in the previous two days whose content is different from their latest snapshot, so an unchanged page doesn't pile up copies. There are no daily snapshots from before your organisation had version history.
Open the snapshots
- Open the page.
- Click More actions in the header and choose Snapshots.
The Snapshots panel lists the page's snapshots, newest first. Each one shows its label (or its kind), who took it, when, and its word count.
Take a snapshot
Take a manual snapshot before a big rewrite, so you have a known-good version to come back to.
- Open Snapshots.
- Optionally type a Label (optional), such as "Before the refactor". Labels can be up to 80 characters.
- Click Take snapshot.
Folioso saves your recent edits first where it can, then captures the page. You'll see "Snapshot taken." You can take up to 10 snapshots a minute.
View a snapshot
Click a snapshot in the list to open it. You see the page exactly as it was, read-only, with its kind, label, date and author at the top.
Click Back to current page to return to the editor.
Restore a snapshot
- Open the snapshot.
- Click Restore this snapshot.
- Confirm with Restore.
What happens:
- Folioso first takes a Before restore snapshot of the page as it is now, so you can undo the restore by restoring that one.
- The page's title and content are replaced with the snapshot's, for everyone. Anyone with the page open is reloaded onto the restored version. See Editing together.
- The restore shows in the space's activity as an edit by you.
- People mentioned in the restored content aren't notified again.
How long snapshots are kept
Manual and Before restore snapshots are kept for as long as the page exists, whatever your plan. Daily snapshots are kept for a number of days set by your plan, and some plans keep them indefinitely. See the pricing page.
A page always keeps its most recent snapshot, even when it's older than that. Snapshots are deleted with the page when it's permanently removed from the recycle bin.
If your organisation moves to a plan without version history, no new daily snapshots are taken and the Snapshots panel is unavailable until you upgrade again. Existing daily snapshots older than that plan's retention period are deleted, apart from each page's most recent one. Manual and Before restore snapshots are kept.
Who can see snapshots
Snapshots are available to people with the Editor or Admin role in the page's space, and to the page's author. People who can open the page only because it was shared with them, or through a public link, can't see its history.
To keep earlier drafts away from a new audience, Folioso hides older snapshots whenever a page's audience changes:
- the page is moved to another space;
- the page's space is deleted and its pages move to the default space;
- the space becomes open;
- a private page is made visible to its space.
Snapshots from before the change are hidden from everyone, the author included, and can't be viewed or restored. Snapshots taken after the change work as normal.
