Data and privacy

What Folioso keeps, for how long, and how you can take your data with you or have it erased.

Where your content lives

Your pages, images and settings belong to the organisation they were created in. Each organisation is separate: its content is visible only to people with access in that organisation and to people a page has been shared with, and an API token works in one organisation only.

Search runs inside Folioso. Your pages aren't sent to an outside search service, and public links are kept out of search engines.

How long things are kept

What How long
Pages in a recycle bin 30 days, then permanently deleted. You can restore a page before then. See Recycle bin.
Automatic version history snapshots Set by your organisation's plan, and kept indefinitely on some plans. See the pricing page. A page's most recent snapshot is always kept.
Manual snapshots and the snapshot saved before a restore Kept until the page is permanently deleted. See Version history.
Space activity feed 90 days.
Notifications 90 days, read or not.
Organisation audit log 365 days.
PDF exports of a page 7 days after they're created.
Your full data export Until its download link expires, 24 hours after it's emailed.
An account scheduled for deletion 30 days, then erased.

Export your data

You can download everything you've created at any time:

  • Your whole account: every page you created, in every organisation, as Markdown, plus every image you uploaded, in one ZIP file. See Exporting your data.
  • A single page: as Markdown, or as PDF if your organisation's plan includes PDF export. See Exporting pages.

Delete your account

Deleting your account signs you out everywhere straight away and erases your account after a 30-day grace window, during which you can reactivate it.

When it's erased:

  • organisations where you were the only member are erased with all their content;
  • you're removed from organisations that have other members, and your personal space in each is erased;
  • pages you created in shared spaces stay with the organisation and show Former member as their author;
  • your profile photo, sessions, notifications and API tokens are erased, and so is any data export waiting for you.

Your name can remain where other people mentioned you inside their pages. See Deleting your account.

Delete an organisation

An organisation can be deleted with everything in it. See Deleting an organisation.

When someone leaves an organisation

Removing a member doesn't delete their pages. Pages in shared spaces stay where they are. Private pages and personal spaces left behind by people who are no longer members are listed for admins to transfer or delete. See Former members' content.

Audit log privacy

The audit log never names content the reader couldn't open: an event about a page in someone's personal space isn't recorded, and an event about a private page is recorded without its title. See Audit log.
