Upgrading
Moving to a plan that costs more takes effect straight away, and you pay the difference only for what's left of the current billing period. This page explains how to upgrade, how the charge is worked out and what changes immediately.
What counts as an upgrade
A move is an upgrade when the organisation would pay more on the new plan than on the current one. Folioso compares the total, the price times the number of seats, rather than the plan names. So:
- Free to any paid plan is an upgrade.
- Moving from a flat plan to a per-seat plan is normally an upgrade, but it depends on the number of seats you'd be billed for, including any minimum.
A move that costs the same also applies immediately, with no change to what you pay. A move that costs less is a downgrade, and waits for the end of the period: see Downgrading.
For prices, see the pricing page.
How to upgrade
You need to be an organisation admin.
- Open Billing from your organisation's admin menu.
- Select Upgrade (on Free) or Change plan.
- Pick the new plan. If both monthly and annual prices are offered, choose with the Monthly / Annual switch.
- Select Subscribe or Change plan.
You'll see "You're now on plan. This period's charge was prorated; your renewal date is unchanged."
If you're on a legacy version of your plan, you'll be asked to confirm the move first, because it can't be undone. See Older plan versions.
How the charge is worked out
When you upgrade part-way through a billing period, the period is split on the day you upgrade:
- the days already gone are charged at your old plan's price;
- the days remaining are charged at the new plan's price.
Your renewal date stays the same, and the next full period is billed at the new price. Both parts appear in the Billing history on the Billing page, and the split rows are marked Prorated. They're invoiced together when the period closes. See Invoices.
Upgrading from Free works differently, because there's nothing to split: your first paid billing period starts on the day you upgrade, and that day becomes your renewal date.
On a per-seat plan you're billed for one seat per member, never below the plan's minimum. See Seats.
What changes straight away
Everything the new plan includes is available as soon as the change is confirmed. For example:
- higher limits on spaces, groups, teams and shared pages, and larger uploads;
- more seats, so you can invite people again;
- features such as version history, PDF export, the API, private spaces, single sign-on, the audit log, custom branding or domain auto-join, if the new plan includes them.
See Plans for the kinds of limits and features a plan sets, and the pricing page for what each plan includes.
An upgrade replaces a scheduled change
There's only ever one plan change waiting. If you've scheduled a downgrade, choosing a plan that costs more replaces it and applies straight away.
If you've scheduled a return to Free, the Billing page offers Keep my plan instead of Change plan. Select Keep my plan first, then upgrade.
Special rates
If Folioso has agreed a special rate with your organisation, including a free place on a plan through a signup invite, it applies only to the plan it was agreed for. Choosing a different plan yourself ends it, and the new plan is billed at its normal price.
Getting suspended members back
If members were suspended because a plan didn't have enough seats for them, upgrading doesn't bring them back on its own. After upgrading, open Members and choose Unsuspend from the … menu on each person's row. On a per-seat plan each unsuspended member adds a seat, charged pro rata. See Suspending members.
