Your organisation

Verified domains

Verify your company's email domain and anyone with a confirmed address on it can join your organisation as a member, without an invitation.

Before you start

  • Email domains are available if your plan includes domain auto-join. See the pricing page.
  • Only organisation admins can add, change or remove domains.
  • Your own email address must be verified.
  • You need someone who can read a mailbox on the domain, such as it@acme.com, to confirm it.

Adding and verifying a domain

  1. Open Settings and go to Email domains.
  2. Fill in:
    • Domain: for example acme.com.
    • Verify through: an email address on exactly that domain. An address on a subdomain, such as it@eu.acme.com for acme.com, isn't accepted.
    • Member limit: the most people who can join through this domain. It starts at 10.
  3. Click Add domain.

Folioso emails a confirmation link to that address. The domain shows "Waiting for verification" until someone opens the link and clicks Confirm followed by the domain name. The link works for 48 hours. Nothing changes unless they confirm.

What you can't claim:

  • public email providers such as gmail.com;
  • a domain another organisation has already verified.

Resending the confirmation

If the email didn't arrive or the link expired, use Send the link to under the domain, change the address if you need to, and click Resend. Only the newest link works.

How people join

Once a domain is verified, joining through it is switched on. Anyone whose account has a verified email address on that domain is offered to join:

  • straight after they sign up or sign in, on a page headed "Your team is already here";
  • in the organisation switcher in the sidebar, as Join followed by your organisation's name.

They click Join and become a Member. They never join as an admin. Joining is always the person's choice; nobody is added automatically.

On the Members tab, people who joined this way show "via" the domain under Joined.

Member limits and seats

Each domain shows how many people have joined through it out of its limit, for example "4 of 10 joined". The count is of current members who joined through the domain, so when one leaves, a place frees up. When the limit is reached, people can still see the offer, but joining is refused with an explanation.

To change the limit, edit Member limit under the domain and click Save.

Each person who joins takes a seat, exactly as if they'd accepted an invitation, so your seat count goes up. See Seats.

Pausing or removing a domain

  • To pause joining, switch off Allow joining under the domain. Switch it on again to resume.
  • To remove a domain, click Remove and confirm with Remove domain. Nobody new can join through it. Members who already joined stay.

Removing a verified domain frees it, so another organisation could verify it.

People you removed

When an admin removes someone from the organisation, that person can't rejoin through your domains. To let them back in, invite them. Accepting an invitation lifts the block.

People who leave on their own aren't blocked.

If your plan changes

If your plan stops including email domains, nobody can join through them, and you can't add domains or change their settings. Your domains stay listed, and you can still remove them.
