Invoices
Folioso issues an invoice for each paid billing period once it has closed. This page explains when invoices are issued, what they contain, how to download them and what each status means.
When invoices are issued
You're billed in arrears: an invoice covers billing periods that have already ended.
- Each night, Folioso issues an invoice for every billing period that closed and had something to charge.
- One invoice covers everything that's due for the organisation at that point, so a period split by an upgrade or an added seat appears as several lines on one invoice.
- Periods that cost nothing, such as time on Free or on a free-of-charge rate, are never invoiced.
- Each invoice is due 14 days after it's issued.
So on a monthly plan you'll normally get one invoice shortly after each renewal date, covering the month that has just ended. An invoice is also issued for the final days of a paid plan when an organisation moves to Free straight away.
When an invoice is issued, Folioso emails it to the billing email on the invoice (or the organisation owner if none was set). You'll also find it on the Billing page. Folioso emails reminders about overdue invoices too: see Overdue payments.
Finding your invoices
You need to be an organisation admin.
- Open Billing from your organisation's admin menu.
- Scroll to Invoices.
Each row shows the Reference, the Issued and Due dates, the Total, how much has been Paid so far, and the Status. Until your first billing period closes, the section reads "No invoices yet — one is issued when your first billing period closes."
Below the invoices, Billing history lists the charge for each billing period: the period, plan, number of seats (with any change from the period before) and amount, marked Prorated when the period was split. It's a running estimate of what each period costs. The invoice is the final record of what you were asked to pay.
Downloading an invoice
Select PDF on the invoice's row. The file is named after the invoice reference, for example INV-2026-000123.pdf.
The invoice shows:
- the reference, such as
INV-2026-000123. Numbers run in sequence within each year; - Billed to: the name, email, address, country and VAT number from your billing details at the time it was issued;
- the Issued and Due dates;
- one line per billing period, with a Description (the plan name and the period's dates), Qty (seats), Unit price and Amount;
- the Subtotal and Total;
- the period the invoice covers.
The PDF doesn't show whether the invoice has been paid, because the document doesn't change once it's issued. Check the Status on the Billing page for that.
Statuses
| Status | Meaning |
|---|---|
| Issued | The invoice has been raised and isn't due yet. |
| Paid | Payments covering the full total have been received. |
| Overdue | The due date has passed and the invoice hasn't been paid in full. See Overdue payments. |
| Void | Folioso has cancelled the invoice. Nothing is owed on it. |
A part payment shows in the Paid column, but the status stays Issued or Overdue until the full total has been received.
Invoices can't be changed
Once issued, an invoice is a permanent record. It isn't edited afterwards:
- Changing your billing details only affects invoices issued after the change.
- If an invoice is wrong, Folioso voids it rather than editing it.
- Invoices stay available even if you move to Free.
Paying an invoice
There's no card payment in Folioso yet. As the Billing page says, invoices are "Payable offline for now." When Folioso receives your payment, it's recorded against the invoice and the status changes to Paid.
Currency
Invoices are in the currency your plan is priced in. Every plan uses the same single currency, shown on the pricing page.
