Spaces

About spaces

Spaces are the main way to organise pages and control who can see them in Folioso. Each space holds its own groups, pages and tags, and has an access type that decides who can get in.

What a space is

A space belongs to one organisation. Everything you write lives in a space:

  • Groups are flat folders that sort the pages in a space. See Groups.
  • Pages are your notes, code and diagrams. See Pages.
  • Tags are scoped to the space. The same tag name in two spaces is two separate tags. See Tags.

A space has its own address under your organisation's address: a space named "Engineering" lives at /engineering. You switch spaces from the organisation and space switcher at the top of the sidebar. It lists My space first, then the organisation's other spaces under Spaces.

Access types

Every shared space has one of three access types.

Access type Who can find it Who can get in
Open Every member of the organisation Every member, as an editor
Closed Listed in Browse spaces for every member Only the people and teams granted a role. Anyone else can ask for access.
Private Only the people and teams granted a role Only the people and teams granted a role

Organisation admins are admins of every open, closed and private space, so they can always get in.

  • Open suits shared team knowledge. Every member can read and edit pages, and no grants are needed.
  • Closed suits a project or client space that people should know exists but join on purpose. A member without access sees a "restricted content" screen with a Request access button. See Requesting access.
  • Private suits sensitive work. The space doesn't appear in the directory, and members without a grant can't open it.

Note

Private spaces are available only if your plan includes them. See the pricing page. If your organisation moves to a plan without them, existing private spaces stay private. You just can't make another space private until you upgrade.

To change a space's access type, see Changing the access type.

The default space

Every organisation has exactly one default space, created with the organisation and named General. It's marked Default in the sidebar and the spaces lists.

  • It's always open, so every member has somewhere to land. You can't make it closed or private.
  • You can't delete it. When another space is deleted, its pages and groups move to the default space.
  • You can rename it.

My space

Every member gets one personal space in each organisation they belong to, shown as My space and drawn with their own avatar.

  • It's private to you. Nobody else holds a role in it, including organisation admins.
  • You can't add people or teams to it, change its access type, give it a logo or delete it.
  • You can still share individual pages from it, by email or by public link. See Sharing with people.
  • My space doesn't count towards your plan's space limit.

If you leave the organisation, an empty My space is removed. A My space that still has pages stays behind, and organisation admins can deal with it from Former members' content.

Space limits by plan

Your plan sets how many shared spaces the organisation can have. The default space counts towards the limit. My space doesn't. Some plans have no limit, and whether you can make a space private also depends on your plan.

Closed spaces are available on every plan. When you reach the limit, New space shows Upgrade and takes organisation admins to the Billing page. See the pricing page for each plan's limits, and Plans for how plans work.

Roles in a space

People in a space hold one of three roles: Viewer, Editor or Admin. A role can come from a direct grant, from a team, from the space being open or from being an organisation admin. See Roles and permissions for how roles combine and what each one can do.
