Sharing with people
Share a single page with someone by email, as read-only or as an editor. They don't need to be in your organisation, and if they don't have a Folioso account yet, they're invited to create one.
Who can share
You can share a page if you're its author or an editor or admin of its space. On a private page, only the author can share it.
People a page has been shared with can't share it further.
Important
You need a verified email address to invite people. Until you've verified yours, the dialog shows "Verify your email address to invite people." with a Verify now link.
Share a page
- Open the page and choose Share.
- Under People with access, type the person's email address.
- Choose Read-only or Editor.
- Choose Invite.
| Access | What the person can do |
|---|---|
| Read-only | Open and read the page. |
| Editor | Open, read and edit the page's content, including live editing with others. |
Shared access is to that one page only. It never gives a role in the space, so the person can't rename, move, tag, share or delete the page, and can't see other pages in the space.
What the person receives
If they already have a Folioso account, they get an in-app notification and an email saying you shared the page with them. The page appears in their Shared with Me list. See Shared with you.
If they don't have an account, they get an invitation email. They appear in the dialog with a Pending badge. When they create a Folioso account with that same email address, the page is waiting in their Shared with Me list.
If new sign-ups to Folioso are paused, a page invitation on its own doesn't let someone create an account. They'd need an invitation to join an organisation as well.
Note
Sharing a page doesn't make someone a member of your organisation. To bring someone into the organisation, invite them from Members instead.
Resend an invitation
For a pending person, choose the Resend invitation button (the paper plane) next to their address. The invitation is sent again in the name of the person who shared the page.
Change or remove someone's access
In the share dialog, use the select next to the person:
- Read-only or Editor changes their access. It takes effect straight away, even if they have the page open.
- No Access removes them. They lose access immediately.
You can also revoke shares from Shared by me. See Shared with you.
Shared page limits
Your plan limits how many pages you can have shared at once. The limit counts pages, not people: sharing a page you've already shared with another person doesn't use another slot. Public links count too. Some plans have no limit.
The count is per person, and the limit comes from the plan of the organisation you're working in. Shared by me shows how many you're using. To free a slot, revoke a share or turn off a public link. See the pricing page for each plan's limit.
Who can see the page in its space
The Private / Space / Public link switch at the top of the share dialog decides who in the space can see the page, separately from the people you invite:
- Private: "Only you and the people you invite."
- Space: visible to everyone with a role in the space.
- Public link: anyone with the link. See Public links.
Only the author or a space admin can switch between Private and Space. See Private pages.
If a shared page is deleted
When a page goes to the recycle bin, the people it's shared with can no longer open it. Restoring the page restores their access. Permanently deleting it removes the shares for good.
