Members and invitations

Organisation admins invite people by email, track pending invitations and manage everyone in the organisation from the Members tab.

The Members tab

Only organisation admins can open Members. Click the organisation card at the top of the sidebar, then choose Members under Admin.

The header shows how many people are in the organisation, how many are suspended and, on a flat plan, how many seats are used. Each row of the table shows:

Column What it shows
Member The member's name, with you beside your own row and a Suspended badge for a suspended member, and their email address underneath. A long address is shortened to fit; hover over it to see it in full.
Role Member or Admin.
Joined When they joined, and "via" a domain if they joined through a verified domain.
Last visited Their last visit to this organisation, on the web or through the API.
Actions The … menu at the end of each row: Suspend, Unsuspend and Remove. Your own row has Leave instead.

Inviting someone

  1. Under Invite by email, type their address.
  2. Choose a Role: Member or Admin.
  3. Click Send invitation.

Folioso emails them a link to join. The invitation appears under Pending invitations until they accept it.

Before you can invite:

  • Your own email address must be verified.
  • Two-factor authentication: admins of an organisation with other members must use two-factor authentication. If you're the only member, set it up before you invite your first person. See Two-factor authentication.

You can't invite someone who is already a member, or an address that already has an invitation waiting.

Seats and invitations

How invitations count against seats depends on your plan:

  • Flat plans have a fixed number of seats. Every member and every pending invitation that hasn't expired takes one. Suspended members don't. When every seat is taken, the button changes to Upgrade plan and takes you to Billing.
  • Per-seat plans are billed per seat, so you can always invite. When someone accepts, your seat count goes up. See Seats.

What the invited person does

They open the link in the email.

  • Not signed in: they're asked to sign in, with their address filled in. Someone new to Folioso can create an account instead.
  • Signed in with the invited address: they join straight away and land in your organisation.
  • Signed in with a different address: they see a page explaining the mismatch and can sign out and try again with the right account.

If the organisation has no free seat when they accept, Folioso can't add them. They're asked to get an admin to free a seat and then open the link again.

Managing pending invitations

Each pending invitation shows the address, role, who sent it and when it expires.

  • Invitations expire after 7 days. An expired invitation stays in the list, marked expired.
  • Resend emails a fresh link and resets the expiry to 7 days from now. The previous link stops working. You can resend an expired invitation.
  • Revoke cancels the invitation. The link stops working, and you can invite that address again.

Removing a member

  1. Find the member, open the … menu at the end of their row and choose Remove.
  2. Confirm with Remove.

The member loses access to the organisation straight away. What happens next:

  • Their pages stay where they are. Private pages and pages in their personal space appear under Former members' content.
  • Their personal space is deleted if it was empty.
  • They're taken off every team and every space grant in this organisation, their pending space access requests are dropped, and their API tokens for this organisation are deleted.
  • On a per-seat plan, the freed seat comes off your bill at the next billing period. See Seats.
  • They can't rejoin through a verified domain. Only a new invitation lets them back in. See Verified domains.

You can't remove the owner, or the last admin of an organisation that has other members. See Admins and ownership.

Tip

To take someone's access away without losing their setup, suspend them instead. Suspension keeps their teams and space grants for when you unsuspend them.

Changing a member's role

Use the Role dropdown on their row. See Admins and ownership for the rules.

Leaving

To leave an organisation yourself, click Leave on your own row, or Leave organisation in the sidebar's organisation card. See Admins and ownership.
