Getting started

Finding your way around

A tour of the Folioso interface: the sidebar, the organisation and space switcher, the All Pages list, the page header and the command palette. Use it to find where things live.

The layout

Every screen has the same two parts:

  • The sidebar on the left, for moving between spaces, groups and pages.
  • The main area on the right, with a header bar across the top.

On a narrow screen the sidebar is hidden. Tap Open navigation in the header to slide it in, and Close navigation to put it away. On a wide screen, Collapse sidebar at the top shrinks it to a strip of icons and Expand sidebar brings it back.

The sidebar

From top to bottom:

Item What it does
Organisation and space switcher Shows the organisation and the space you're in. Click it to switch. See Switching spaces and organisations.
Search... Opens the command palette. The shortcut is shown beside it.
New Page Creates a page in the current space and opens it. Greyed out if you can only view the space.
All Pages The space's home page, listing every page in the space you can open, with a count.
Activity Recent changes in the space. See Space activity.
Favourites Pages you've starred. It only appears once you have at least one.
Groups Each of the space's groups, with its pages underneath. Pages with no group are listed under Ungrouped.
Shared Expands to Shared with Me, Opened from links and Shared by me. See Shared with you.
Recycle bin Pages you deleted, and pages deleted in spaces you administer. See Recycle bin.
Your name At the bottom, with your plan, a Settings button and Sign out.

Working with pages in the sidebar

  • Click a page to open it. Click the arrow beside a page to show or hide its sub-pages.
  • Hover over a page and click More actions (or right-click it) for Rename, Make child page, Promote page, Move up, Move down and Delete. You only see the actions you're allowed to use.
  • Drag a page to reorder it, nest it or move it to another group.
  • If you can edit the space, a group's More actions menu has Add page, Edit and Delete.

See Creating and managing pages and Groups.

Favourites

Star a page with the star in its header to add it to Favourites. Click Favourites in the sidebar to open the list, type in Search favourites to filter it, and click a page to open it. Favourites follow you across spaces and organisations, and a favourite from elsewhere shows which space it's in. Star the page again to remove it.

You can favourite any page you can open, including pages shared with you.

Switching spaces and organisations

Click the organisation and space name at the top of the sidebar. The panel that opens lists:

  • Organisations, if you belong to more than one. Click one to switch. Each organisation has its own address, so the page reloads on the new address. See Multiple organisations.
  • My space and then Spaces: the spaces you can open. The default space is marked Default, and closed or private spaces are labelled with their access type. Click a space to go to it.
  • Browse spaces, the directory of every open and closed space, where you can ask to join a closed one. See Requesting access.
  • New space (organisation admins) and New group.
  • For organisation admins, links to the organisation hub: Overview, Members, Teams, Spaces, Billing, Recycle Bin, Audit log and Settings. Space admins who aren't organisation admins see Spaces. See Organisation overview.
  • Leave organisation, when you're allowed to leave.

When you open an organisation, Folioso takes you to the last space you visited if it's in that organisation, and otherwise to its default space.

All Pages

All Pages is a space's home page. It shows recent activity in the space and then every page you can open there.

The buttons in its header:

  • New page creates a page. It's shown on narrow screens only; on a wide screen, use New Page in the sidebar.
  • Newest first / Oldest first changes the order.
  • List view / Grid view switches the layout. The list shows sub-pages indented under their parent.

Each page has a Page actions menu (also on right-click) with Export as PDF, Export as Markdown, Duplicate page, Move to group…, Move to space… and Delete, depending on what you're allowed to do.

A lock icon marks a private page, and a globe icon marks a page with a public link.

The page header

When you open a page, the header shows:

  • Back and the page's group and title.
  • Saving…, Saved or Unsaved changes, so you know your work is safe.
  • The faces of everyone else on the page, when you're editing together.
  • The page's word count.
  • The star for Favourites.
  • The notifications bell. See Notifications.
  • A theme button to switch between light, dark and system.
  • Private or Public, if the page isn't simply visible to its space, and Share, if you can share it.
  • More actions, the page's menu. See Creating and managing pages.

The command palette

Press Ctrl K (⌘K on a Mac) anywhere, or click Search... in the sidebar, to open the command palette.

  • Before you type, it lists your Recent pages: the five most recently edited pages in the current space.
  • As you type, it searches the titles and content of every page you can open in the organisation and shows Results.
  • Use the arrow keys to move, Enter to open a page and Escape to close.

See Search.

Settings

Click Settings at the bottom of the sidebar for your profile, password and two-factor authentication, editor preferences, tags, API tokens, data export and account deletion. See Profile and Preferences.
