Groups
Groups are flat folders that sort the pages inside a space. Each group has a name, a colour and an optional icon and description, and appears as a collapsible section in the sidebar.
How groups work
- A group belongs to one space. Each space has its own groups.
- Groups are flat: a group can't contain another group.
- A page is in one group at most. Pages that aren't in any group appear under Ungrouped at the bottom of the sidebar's group list.
- Who can see a group follows the space. Anyone who can open the space sees its groups.
Create a group
You need the Editor or Admin role in the space.
- Open the organisation and space switcher at the top of the sidebar.
- Choose New group.
- Enter a Name of up to 100 characters.
- Optionally add a Description of up to 255 characters.
- Pick a Colour and, optionally, an Icon.
- Choose Create group.
The group is created in the space you're in.
If you only have the Viewer role, New group is disabled and says "You have view-only access to this space".
Group limits by plan
Your plan sets how many groups each space can have, and some plans have no limit. At the limit, New group shows Upgrade. Organisation admins are taken to the Billing page. Other members are told that an organisation admin can upgrade the plan. See the pricing page for each plan's limit.
Add pages to a group
- Open the group's More actions menu in the sidebar and choose Add page to create a new page in it.
- Choose Move to group… from a page's actions menu, in the editor or on the All Pages list.
- Drag a page in the sidebar onto a group's heading or into its list.
- When you move a page with Move to space…, pick a Group in the target space, or No group.
Moving pages between groups needs the Editor or Admin role, or authorship of the page. See Pages.
Edit a group
You need the Editor or Admin role in the space.
- In the sidebar, open the group's More actions menu, or right-click the group.
- Choose Edit.
- Change the name, description, colour or icon, then choose Save.
Delete a group
Only space admins, including organisation admins, can delete a group.
- In the sidebar, open the group's More actions menu, or right-click the group.
- Choose Delete, then confirm with Delete.
The group is deleted permanently, and its pages become Ungrouped. No pages are deleted.
When a whole space is deleted, its groups move to the default space with their pages. See Delete a space.
