Suspending members
Suspending a member takes away their access to the organisation without removing them, and frees their seat; you can suspend people by hand or automatically after a period without a visit.
Suspension or removal?
| Suspend | Remove | |
|---|---|---|
| Access to the organisation | Blocked until unsuspended | Gone |
| Takes a seat | No | No |
| Teams and space grants | Kept, and restored on unsuspension | Removed |
| API tokens for this organisation | Kept, but refused while suspended | Deleted |
| Their pages | Stay where they are | Stay where they are |
| Undo | Unsuspend | Invite them again |
Suspending members, by hand or automatically, is available if your plan includes member suspension. See the pricing page. Unsuspending is always possible, whatever your plan.
Suspending a member by hand
Only organisation admins can suspend.
- Open the Members tab.
- Open the … menu at the end of the member's row and choose Suspend.
- Confirm with Suspend.
Their row shows a Suspended badge. A member suspended by hand isn't emailed.
You can only suspend people with the Member role. To suspend an admin, change their role to member first. The owner can never be suspended.
What a suspended member sees
When a suspended member opens the organisation, they see "Your account in [organisation] is suspended" and are asked to contact an administrator. The page links to their other organisations and has a Sign out button. In the organisation switcher, the organisation is marked suspended.
While suspended, they:
- can't open any space or page in the organisation, including their own personal space and pages shared with them;
- can't use the organisation through the API;
- get no organisation emails, apart from the notice that they've been suspended automatically.
Their pages stay where they are, and colleagues can still mention them.
Unsuspending a member
- Open the … menu at the end of the member's row and choose Unsuspend.
- Confirm with Unsuspend.
They get back exactly the access they had, including their teams and space grants, and they take a seat again:
- Per-seat plans: your seat count goes up, which may raise your bill. See Seats.
- Flat plans: you need a free seat. If every seat is taken, you're asked to upgrade.
Unsuspending resets their last visit to today, so automatic suspension won't catch them again the same night.
Automatic suspension
Automatic suspension suspends members who haven't visited the organisation for a number of days you choose, so they stop taking a seat. A visit counts on the web or through the API.
To turn it on:
- Open Settings and go to Automatic suspension.
- Tick Suspend members who haven't visited for a while.
- Set Days without a visit: between 31 and 3,650 days. The suggested value is 90.
- Click Save.
Folioso checks every night. Each member caught by it gets one email saying they've been suspended. Admins and the owner are never suspended automatically.
To turn it off, untick the box and click Save.
Note
If your plan stops including member suspension, automatic suspension is paused, not deleted. Settings shows the saved value, and Turn off automatic suspension lets you switch it off. Members who were already suspended stay suspended until you unsuspend them.
Suspensions when you move to a smaller plan
Moving to a flat plan, or returning to Free, while you have more members than it allows suspends the excess members when the change takes effect. The owner is always kept. Each suspended member is emailed, and the remaining admins are told who was suspended. See Downgrading.
In the audit log
Suspensions and unsuspensions are recorded in the audit log, with automatic suspensions marked as such.
