Search and sharing

Shared with you

Three lists in the sidebar keep track of sharing: pages shared with you, pages you opened from public links, and pages you've shared yourself. Find them under Shared in the sidebar.

Shared with Me

Shared with Me lists every page someone has shared with you by email, from any organisation.

Each row shows the Title, who it was Shared By, your Access (Read-only or Editor) and when it was Shared. Choose Open to go to the page.

A page drops off the list when the person who shared it removes your access, or when its organisation is deleted.

You don't need to be a member of the page's organisation to open a page shared with you. You get access to that page only. See Sharing with people.

Opened from links lists the pages you've opened from someone else's public link while signed in, so you can find them again. Each row shows the Title, who it was Shared By, the link's Access and when you Opened it.

  • Choose Open to go back to the page.
  • Choose Remove to take it off your list. This only tidies your list. It doesn't change the link.

Opening a page from the list works only while the link is still on. See Public links.

Shared by me

Shared by me lists the shares you've created: public links, people you've shared with, and pending invitations.

At the top, the Shared pages meter shows how many pages you have shared against your plan's limit. See Shared page limits.

Each row shows the Title, who it's Shared with (a person, or the public link), the Access, the Protection (whether a public link has a password) and when it was Shared.

Revoke a share

  1. Choose Revoke on the row.
  2. Confirm with Revoke.

Revoking a person's share removes their access straight away. Revoking a public link turns it off: the URL stops working permanently, and turning the link on again creates a new one.

Revoke appears only for pages in the organisation you're working in. For a page in another organisation, choose Open and change the share from the page's share dialog.

Pages counted but not listed

If you've lost access to a page you shared, for example because it was moved to a space you're not in, the share still counts towards your limit but isn't listed. The page tells you how many shares are counted but not listed.
