Creating and managing pages
Pages are where you write in Folioso. This page covers creating a page, how saving works, and how to rename, nest, favourite, duplicate, move and delete pages.
Create a page
You need the Editor or Admin role in the space. In an open space, every member has it.
- Click New Page in the sidebar to create a page in the current space, with no group.
- To create a page inside a group, open the group's More actions menu in the sidebar and choose Add page.
- On All Pages on a narrow screen, click New page in the header.
The new page opens straight away in the editor, titled Untitled. It's visible to everyone in the space, with whatever access their role gives them. To keep it to yourself, make it private from Share. See Private pages.
Write the page
- Click Untitled and type the page's title. Press Enter to jump to the start of the body.
- Write in the body. Use the toolbar above the page, Markdown-style shortcuts such as
##for a heading, or type/at the start of a line for the block menu. See Formatting text.
The line under the title shows who last edited the page and when, plus the page's tags. The header shows the word count.
If you can view the page but not edit it, the toolbar is replaced by Read-only and "You don't have permission to edit this page".
The / block menu
Type / at the start of a line to open the block menu. Keep typing to filter it, use the arrow keys to choose, and press Enter or Tab to insert. Press Escape to close it.
| Item | Inserts |
|---|---|
| Heading 1 | A large section heading |
| Code block | A syntax-highlighted code block. See Code blocks. |
| Task list | A checkbox to-do list |
| Table | A 3×3 table with a header row |
| Image | Opens the file picker to upload an image. See Images. |
| Mermaid diagram | A diagram block, Mermaid or PlantUML. See Diagrams. |
| Info box, Success box, Warning box, Error box | A titled alert box. See Alert boxes. |
The menu doesn't open inside a code block, inline code, a table or an alert box.
Saving
There's no save button. Folioso saves your changes about 3 seconds after you stop typing. The header tells you where things stand:
| Status | Meaning |
|---|---|
| Saved | Everything you've typed is stored. |
| Saving… | A save is on its way. |
| Unsaved changes | You've typed since the last save, or the last save didn't go through. |
To save immediately, press Ctrl S (⌘S on a Mac). Leaving the page also saves any pending changes first.
If someone changes your access while you're editing, so that your changes can't be saved, a Your access changed dialog explains what happened. Copy anything you need from the screen, then click Reload page to see the current version.
The page menu
Click More actions in the page header for the page's menu. It appears for anyone with the Editor or Admin role in the space, and for the page's author. People who can open the page only because it was shared with them don't get it.
| Item | What it does |
|---|---|
| Export as PDF | Builds a PDF of the page. Marked Pro on plans without it. See Exporting pages. |
| Export as Markdown | Downloads the page as a .md file. |
| Snapshots | Opens the page's version history. Marked Pro on plans without it. See Version history. |
| Duplicate page | Makes a copy of the page. |
| Move to group… | Moves the page to another group in the space, or to No group. |
| Move to space… | Moves the page to another space. |
| Delete | Moves the page to the recycle bin. Only for the author and space admins. |
Each page's Page actions menu on All Pages has the same actions apart from Snapshots.
Rename a page
- In the editor, click the title and type. The new title saves with the rest of the page. Anyone who can edit the page can do this.
- In the sidebar, open the page's More actions menu and choose Rename. Type the new name and press Enter, or press Escape to cancel. This needs the Editor or Admin role in the space, or authorship of the page.
Titles can be up to 255 characters. A page with no title shows as Untitled.
Sub-pages
You can nest pages under other pages, up to three levels deep. Nested pages appear indented under their parent in the sidebar and on All Pages, and the editor lists a page's children under Sub-pages beside the text.
In the sidebar, open a page's More actions menu:
- Make child page nests the page under the page above it.
- Promote page moves the page up one level, out from under its parent.
- Move up and Move down swap the page with its neighbour at the same level, taking any sub-pages with it.
You can also drag pages in the sidebar: drop a page next to a nested page to nest it alongside that page, or next to a top-level page to bring it back to the top level. Rearranging pages needs the Editor or Admin role in the space, or authorship of the page.
Deleting a page doesn't delete its sub-pages. They stay in the space and appear at the top level of their group.
Favourite a page
Click the star in the page header to add the page to Favourites in the sidebar, and click it again to remove it. You can favourite any page you can open. See Favourites.
Duplicate a page
Choose Duplicate page from the page menu. Folioso saves your latest changes, then creates a copy and opens it.
The copy:
- is named after the original with " copy" on the end;
- sits in the same space and group, at the end of the list, and at the top level rather than under the original's parent;
- has the same content, tags and visibility;
- has you as its author, starts with no sharing, no sub-pages and no version history.
Move a page
To another group
Choose Move to group… and pick a group, or No group. You can also drag the page onto a group in the sidebar. Sub-pages move with it.
To another space
- Choose Move to space….
- Pick the Space, and optionally a Group in it.
- Click Move page.
The page and every page nested under it move together. The page keeps its address, so links to it keep working, and it lands at the top level of the space you chose. Its tags come with it: each one is matched to a tag of the same name in the new space, or created there.
You can only move a page to a space where you have the Editor or Admin role. If there's none, the dialog says "There is no other space you can add pages to."
Note
Moving a page to another space changes who can see it. Snapshots taken before the move are hidden from everyone, so earlier versions don't reach the new audience. See Version history.
Delete a page
Only the page's author and space admins, including organisation admins, can delete a page.
- Choose Delete from the page menu, or from the page's More actions menu in the sidebar.
- Confirm with Delete.
The page moves to the recycle bin and you go back to the space. A message offers Undo if you change your mind straight away. Otherwise you can restore it from the recycle bin within 30 days. See Recycle bin.
Anyone who had the page open is taken off it.
