Former members' content
When someone leaves your organisation, their private pages and the pages in their personal space stay behind; organisation admins can take them over or delete them here.
Why content is left behind
Removing a member, or a member leaving, never deletes their pages. Pages they wrote in shared spaces stay where they are, and everyone with access to those spaces keeps using them. Two kinds of page, though, are invisible to everyone else:
- private pages they wrote in shared spaces;
- pages in their personal space ("My space").
Once the author is no longer a member, nobody could reach these pages. This view lets an organisation admin decide what happens to them. It's the only place where admins can see other people's private pages, and only once the author has gone.
A personal space that held nothing is deleted when its owner leaves. One with pages or groups is kept until you deal with its contents.
If a member deletes their Folioso account, their personal spaces are erased with it, so those pages never appear here. Their private pages in shared spaces do appear, with Former member as the author.
Opening the view
Only organisation admins can open it.
- Open the Members tab of the organisation hub.
- Click Content left by former members.
Each row shows:
| Column | What it shows |
|---|---|
| Page | The title, plus Private or In recycle bin where they apply. |
| Author | The former member's name and email, or Former member if their account has been deleted. |
| Where | The space, or Personal space. |
| Updated | When the page last changed. |
| Actions | The … menu at the end of each row: Transfer to me and Delete. |
If there's nothing to deal with, the view says "Nothing has been left behind."
Taking a page over
Open the … menu at the end of the page's row and choose Transfer to me. You become the author of the page, and of every page below it whose author has also gone. Pages below it written by current members keep their author.
- A page in a shared space stays where it is.
- A page in a personal space moves, with all the pages below it, to the organisation's default space, outside any group. When nothing is left in that personal space, it's deleted.
Moving keeps the pages' links working.
Deleting a page
Open the … menu at the end of the page's row and choose Delete.
- A page that isn't in the recycle bin moves there. Confirm with Delete. It stays in this list, marked In recycle bin, until it's purged or you take it over.
- A page already in the recycle bin is deleted permanently. Confirm with Delete forever. This can't be undone.
Pages in the recycle bin are purged automatically after a while. See Recycle bin.
In the audit log
Taking over and deleting orphaned pages in shared spaces are recorded in the audit log. For a private page, the entry doesn't include its title.
