Public links
A public link lets anyone with the URL read a page, without an account. You can make the link view-only or let signed-in people edit, protect it with a password, and turn it off at any time.
Who can create a public link
You can turn on a public link if you're the page's author or an editor or admin of its space. On a private page, only the author can.
Important
You need a verified email address to publish a public link. Until then, the Public link option is disabled and the dialog offers Verify now. Turning a link off never needs verification.
Each page has at most one public link. It counts towards your plan's shared page limit.
Turn on a public link
- Open the page and choose Share.
- In the switch at the top of the dialog, choose Public link.
- Choose Copy to copy the URL.
Turning on the link doesn't change who in the space can see the page. The dialog reminds you: "Also visible to everyone in…" for a space page, or "Not visible to your space — only people you invite." for a private one.
The Link preview section shows the card that chat apps and social sites display when someone pastes the link.
View or edit
Use Anyone with the link can to choose:
| Setting | Signed-out visitors | Signed-in visitors |
|---|---|---|
| View | Read the page | Open the page in Folioso, read-only |
| Edit (sign-in required) | Read the page, with a Sign in to edit prompt | Open the page in Folioso and edit it |
Signed-out visitors always get a read-only copy of the page. When a signed-in person opens the link, Folioso takes them to the page in the app with the access the link gives, and lists it under Opened from links so they can find it again. See Shared with you.
Access belongs to whoever opened the link
A public link only grants access to someone who has opened it. Being signed in to Folioso isn't enough: a person reaches the page in the app only after opening the link themselves, in that browser, and entering its password if it has one. They keep that access only while the link stays on with the same password. Turning the link off, switching it to View or changing the password takes effect for them straight away.
Protect a link with a password
- With the public link on, choose Add a password in the password box under the link.
- Enter a Link password of 6 to 72 characters.
- Choose Save password.
The link now shows Password protected. Visitors see a "Password required" screen and must enter the Link password and choose Unlock before they see anything. The screen shows nothing about the page: no title, preview or branding.
- Change password sets a new one. Everyone who opened the link before has to enter the new password.
- Remove password makes the link open to anyone who has it again.
- Repeated wrong passwords are rate-limited. Correct ones never are.
Someone who can already open the page another way, for example as a member of its space, goes straight through. If the link allows editing and they can only read the page, the prompt explains that the password unlocks edit access.
Turn off a public link
- Open the page and choose Share.
- In the switch at the top of the dialog, choose Private or Space.
- Confirm with Disable link.
The URL stops working immediately for everyone who has it. Turning the link back on later creates a new URL, so the old one never works again.
You can also turn off a link from Shared by me with Revoke. See Shared with you.
When a link stops working
Besides being turned off, a public link stops working while:
- the page is in the recycle bin;
- the organisation is scheduled for deletion. Its links work again if the organisation is reactivated.
Search engines and link previews
Pages opened from public links are marked so that search engines don't index them. A public link is for the people you send it to, not for discovery.
Link previews still work: chat apps and social sites can show the page's title, a short extract and a preview card when someone pastes the link. Password-protected links show no preview of the page.
If your organisation's plan includes custom branding and an admin has turned it on, public pages carry your organisation's branding. See Organisation settings.
