Plans and billing

Downgrading

Moving to a plan that costs less is scheduled for the end of your current billing period, so you keep what you've paid for until then. This page covers scheduling and cancelling a downgrade, the seat rules, what happens to members over the new plan's seat limit, and which features stop.

When a downgrade applies

A move is a downgrade when the organisation would pay less on the new plan, comparing the price times the number of seats, not the plan names. For moving to Free, see Moving to the Free plan, which works the same way with a few extras.

A downgrade never happens mid-period. It's scheduled for the end of the current billing period, your renewal date. Until then:

  • you stay on your current plan, with all its features and limits;
  • you keep paying your current price for the current period, and nothing is refunded;
  • the new plan's price applies from the next period.

How to downgrade

You need to be an organisation admin.

  1. Open Billing from your organisation's admin menu.
  2. Select Change plan and pick the plan you want.
  3. Select Change plan.

You'll see "Your change to plan is scheduled for date — your current plan continues until then." The Billing page then shows "Changes to plan on date."

There's only one scheduled change at a time. Choosing another plan replaces the one you scheduled, and choosing Free replaces it with a return to Free.

Cancelling a scheduled downgrade

Changed your mind? Select Cancel scheduled change next to the announcement on the Billing page. You'll see "Your scheduled plan change has been cancelled — you stay on your current plan." Nothing else changes, and any special rate you had agreed with Folioso is kept.

You can cancel any time before the change lands.

Seat limits when downgrading

The new plan has to be able to seat your members:

  • Onto a paid flat plan: if you have more members than the plan includes, the change is refused with "This plan allows N seat(s) but the organisation has M member(s) — choose a seat-based plan." Remove members, or suspend them while you're still on a per-seat plan, then try again. This check applies whether the change would happen now or at the end of the period.
  • Onto a per-seat plan: you're billed for one seat per member from the next period, never below the plan's minimum.
  • Onto Free: always allowed, but members beyond Free's seats are suspended when the move lands. See below.

What happens to members over the seat limit

A scheduled move onto a paid flat plan is checked when you schedule it, but people can still join before it lands (for example into a spare seat under your current plan's minimum). A return to Free can land with more members than Free includes. Either way, when the move lands on a plan without enough seats, Folioso suspends members until the organisation fits, in this order:

  1. The owner is always kept.
  2. The admin who chose the move is kept next, while there are seats left.
  3. Members who aren't admins are suspended, newest to join first.
  4. If that isn't enough, the least recently active admins are changed to members and then suspended.

Everyone affected is emailed:

  • each suspended member is told their account in the organisation has been suspended and their pages are kept;
  • the remaining admins get one email listing who was suspended, and which of them were admins.

Suspended members keep their account and their pages, stay in any other organisation they belong to, and don't take a seat. They see a page saying their account is suspended and asking them to contact an admin.

Getting those members back

  1. Move to a plan with enough seats, such as a per-seat plan. See Upgrading.
  2. Open Members and, for each person, choose Unsuspend from the … menu at the end of their row.

Admins who were changed to members come back as members. Change their role back on the Members page afterwards. See Suspending members and Admins and ownership.

What you lose on a smaller plan

When the downgrade lands, the new plan's limits and features apply. Nothing you've created is deleted, with one exception for old automatic snapshots (below), but some features stop working:

Feature What happens after the downgrade
Spaces, groups, teams, shared pages Everything you have stays. You can't create more until you're under the new limit.
Uploads and image storage Existing images stay. New uploads must fit the new size and storage limits.
Private spaces Existing private spaces stay private. You can't create a private space or make a space private.
Custom branding Your logo and colours stop appearing on shared pages straight away.
Custom organisation address Your address stays as it is, but you can't change it again.
Single sign-on Members can no longer sign in through your identity provider. They sign in with their password or GitHub instead.
API access API requests with your members' tokens are refused.
Audit log Security events are still recorded, but you can't view or export the log until you upgrade again.
Domain auto-join People can no longer join through your verified domains, and you can't add domains.
Member suspension You can't suspend members, and automatic suspension stops. You can still unsuspend members and turn automatic suspension off.
PDF export Pages can't be exported as PDF. Markdown export still works.
Version history On a plan without version history you can't browse, take or restore snapshots, and daily snapshots stop.

Warning

Each plan sets how long automatic snapshots are kept, and smaller plans usually keep them for less time. A plan without version history still keeps existing snapshots for its retention period, even though you can't open them there. After a downgrade, automatic daily snapshots older than the new plan's limit are deleted, though each page keeps at least its most recent snapshot. Snapshots you took by hand are never deleted this way. See Version history.

For what each plan includes, see the pricing page.
