Overdue payments
An invoice becomes overdue when its due date passes without full payment. Folioso then sends reminders, and if the invoice is still unpaid after a grace period, the organisation is moved to Free. This page explains the timeline, what you keep along the way and how to settle up.
How payment works today
There's no card payment in Folioso yet: invoices are payable offline. When Folioso receives a payment, it's recorded against the invoice, and once the payments cover the full total the invoice shows Paid. A part payment appears in the Paid column on the Billing page, but the invoice stays overdue until it's paid in full.
The timeline
Each invoice is due 14 days after it's issued. If it's still unpaid on the due date:
| When | What happens |
|---|---|
| Due date | The invoice's status changes to Overdue. |
| 1 day after | First reminder email. |
| 7 days after | Second reminder email. |
| 14 days after | Third reminder email. |
| 21 days after | Grace period ends. If the invoice is still unpaid, the organisation moves to Free straight away. |
Folioso checks once a night, so each step happens on the night it falls due.
There's no banner or warning at the top of the Billing page. To see which invoices are overdue, look at the Status column under Invoices.
Reminder emails
Each reminder says "Invoice reference is overdue", with the amount and due date, and that the organisation returns to the free plan if it stays unpaid. It links to your Billing page.
Reminders go to the billing email on the invoice. If no billing email was set when the invoice was issued, they go to the organisation owner. See Billing details.
If you've already paid, you can ignore the reminder. Reminders stop as soon as the invoice is paid or voided.
During the grace period
While an invoice is overdue, your organisation keeps its plan, with every feature, limit and seat. Nothing is switched off before the grace period ends.
If you have several overdue invoices, the grace period runs from the oldest one, so a newer invoice doesn't give you extra time.
When the grace period ends
If the oldest overdue invoice is still unpaid 21 days after its due date, Folioso moves the organisation to Free immediately:
- the current billing period is cut short that day, and a final invoice is issued for the days used on the paid plan;
- Free's limits apply and paid features stop. See What you lose on a smaller plan;
- members beyond the seats Free includes are suspended, keeping the owner. See Members over the seat limit.
Your content isn't deleted.
Important
Moving to Free doesn't cancel what you owe. Overdue invoices stay on the Billing page and remain payable in full.
Coming back to a paid plan
You can choose a paid plan again from the Billing page at any time. The invoices from before the move are still owed, but they won't move you to Free a second time. Any new invoice that goes overdue follows the same timeline from the start.
To bring suspended members back after upgrading, choose Unsuspend from the … menu on each of their rows on the Members page.
Moving to Free yourself
You can schedule a return to Free while an invoice is overdue. It lands at the end of your period as usual. The invoice remains owed. See Moving to the Free plan.
