Managing spaces
The hub's Spaces tab lists every space you manage, so you can set each one's access type, answer access requests and grant people and teams roles in one place.
Who can open the Spaces tab
- Organisation admins see every shared space in the organisation.
- Members who are an admin of one or more spaces see just those spaces. For them, Spaces is the only hub tab they can open.
Personal spaces ("My space") are never listed. To open the tab, click the organisation card at the top of the sidebar and choose Spaces under Admin.
What each space shows
Each space has a card with:
- its name and logo, a Default badge on the default space, and its access type;
- how many people have access;
- Open, which takes you to the space;
- Access, Requests, People and Teams sections, described below.
To change a space's logo, upload one on its card or remove it.
Setting the access type
Under Access, choose:
| Access type | Who gets in |
|---|---|
| Open | Every member of the organisation can read and edit pages here. |
| Closed | Listed in the space directory, but only people and teams you grant access to can get in. |
| Private | Invisible to everyone except the people and teams you grant access to. |
Private spaces are available if your plan includes them. The default space is always open, so its access type can't be changed. See Spaces overview.
Answering access requests
When someone asks to join a closed space, their request appears under Requests.
- To approve, choose the role to give them and click Approve.
- To decline, click Decline, optionally type a reason (the requester sees it) and click Confirm decline.
See Access requests.
Granting people and teams
Grants only matter on closed and private spaces. While a space is open, every member is an editor.
People:
- In Add a person…, choose a member.
- Pick a role: Viewer, Editor or Admin.
- Click Add.
Teams:
- In Add a team…, choose a team.
- Pick a role.
- Click Add.
To change a role, use the dropdown beside the person or team. To take a grant away, click the remove button beside it. If there are no teams yet, create one on the Teams tab.
For what each role allows, see Space permissions.
Creating a space
Organisation admins can click New space at the top of the tab. When you've reached your plan's space limit, the button shows Upgrade and takes you to Billing. Your plan sets how many shared spaces you can have; see the pricing page.
Personal spaces don't count towards the limit. For creating, renaming and deleting spaces, see Creating and managing spaces.
