Plans and billing

Choosing a plan

You pick your organisation's plan when you register, and an admin can change it at any time from the Billing page. This page covers both, and who is allowed to do it.

Who can choose a plan

Only organisation admins can choose or change the plan, see the Billing page, update billing details or download invoices. Members don't see the Billing page at all; the read-only summary under Plan & Billing in their account settings shows the current plan and usage.

When you register, you're the admin of the new organisation that comes with your account, so you can pick its plan straight away.

At registration

After you create your account, step 2 of registration is Pick a plan.

  1. Choose a plan card. Free is selected to begin with.
  2. If any plan is offered both monthly and annually, a Monthly / Annual switch appears above the cards.
  3. Select Continue to Folioso.

Each card shows the plan's price, its minimum seats if it has one (for example "Minimum N seats."), any free trial, and what it includes. On a per-seat plan the price shown is for the number of seats you'd be billed for.

Choosing Free sets nothing up: the organisation is already on it. Choosing a paid plan starts it straight away, with your first billing period running from today. As the page says, "Paid plans activate immediately — card details come later when billing goes live." See Invoices for how you're billed in the meantime.

If a paid plan can't be applied (for example it wouldn't fit the organisation's members), you still get into Folioso on Free, and can choose again from the Billing page.

Note

You won't see this step if you registered through an invitation to an existing organisation, or through a signup invite from Folioso. An existing organisation already has a plan, and a signup invite comes with its plan already chosen.

If your email matches a verified domain

If your email address belongs to a domain an organisation has verified, the step also offers to join that organisation, with "Or pick a plan for your own workspace below." underneath. See Verified domains.

When paid plans are invite-only

Folioso sometimes opens paid plans by invitation only. While it does, paid plans are marked Invite only and can't be selected, and the page explains: "Paid plans are invite-only for now. Start on Free, and register your interest to hear when they open." Select Register interest to be told when they open.

On the Billing page

To open it, go to your organisation's admin menu and choose Billing, or select Manage plan under Plan & Billing in your account settings.

The top of the page shows:

  • Current plan, with a summary of your main limits;
  • your renewal date, or "You're on the Free plan.";
  • any change scheduled for the end of the period;
  • a Seats meter showing how many members you have against your seats.

To change plan:

  1. Select Upgrade (on Free) or Change plan (on a paid plan). The Change plan chooser opens.
  2. Pick a plan in the chooser. Your current plan is labelled "Your current plan". Each card shows the plan's price for your number of seats and what it includes.
  3. Select Subscribe, Change plan or, if you picked Free, Return to Free. The change is made straight away, with no separate confirmation. The exception is a legacy plan version: there the button reads Review change and takes you to a confirmation screen first (see Older plan versions).

What happens next depends on the move:

Move When it applies Billing
Free to a paid plan Immediately A new billing period starts today
To a plan that costs more Immediately The rest of this period is charged at the new price (Upgrading)
To a plan that costs less At the end of the period You keep your current plan until then (Downgrading)
To a plan that costs the same Immediately No change to what you pay
To Free At the end of the period Nothing more is charged after that (Moving to the Free plan)

"Costs more" and "costs less" compare what the whole organisation pays, the price times the number of seats, not the plan's name. For example, moving from a flat plan to a per-seat plan with a minimum can count as an upgrade because of the seats it bills.

A message confirms what happened, such as "You're now on plan. This period's charge was prorated; your renewal date is unchanged." or "Your change to plan is scheduled for date — your current plan continues until then."

When moving to a paid plan is paused

While paid plans are invite-only, the Upgrade and Change plan buttons are replaced by "Moving to a paid plan is paused for now. Your current plan carries on as normal." You can still return to Free, cancel a scheduled change, or keep your plan after scheduling a return to Free.

Currency

All plans are priced in one currency, which you can see on the pricing page. A plan change always stays in the currency you're billed in.
